Open Call | Coordinator for Art Coordination Annual Meeting (ACAM) 2026

*** in Residence Kyoto, in partnership with Hanoi Grapevine / Artist-in-Residence Vietnam Network (AiRViNe), is pleased to announce an open call for one coordinator based in Kyoto to participate in the Art Coordination Annual Meeting (ACAM), an international conference to be held in Hanoi, Vietnam, from 29–31 October 2026.

ACAM is an annual gathering dedicated to the practice of art coordination, bringing together coordinators to exchange knowledge, discuss shared challenges, develop professional skills, and build international networks.

The meeting focuses on the role of art coordination in connecting artists, curators, cultural organisations, and local communities, supporting the development and implementation of collaborative cultural projects. Through panel discussions, workshops, case studies, and dialogue among participants, attendees will explore artistic and cultural practices in Vietnam and Southeast Asia, the role of coordination within the arts, and approaches to cross-regional collaboration.

This programme invites applications from Japan-based coordinators living in Kyoto who wish to broaden their own practice through dialogue with local coordinators, cultural practitioners, artists, and representatives of cultural organisations participating in ACAM 2026.

1. Eligibility

Applicants should meet the following criteria:

Coordinators, curators, mediators, or cultural practitioners based in Kyoto City.
Individuals involved in residency programmes, cultural programmes, exhibitions, festivals, community projects, educational outreach, or other cultural initiatives across disciplines including craft, art, architecture, and related fields.
Individuals interested in arts coordination, cultural management, production, research, or community engagement within the field of arts and culture.
Individuals with an interest in the artistic and cultural contexts of Vietnam and Southeast Asia.
Individuals who are motivated to engage in dialogue and build networks with practitioners from overseas.
Applicants who are able to communicate in English.

There is no age restriction.
Applications are accepted from individuals only.
Students, freelancers, and applicants affiliated with organisations are all welcome to apply.
This programme is not an artist residency intended primarily for artistic production. Rather, it is a dispatch programme centred on participation in ACAM, networking, research, and professional exchange.

2. Host Organisation

Programme: Art Coordination Annual Meeting (ACAM)

Location: Hanoi, Vietnam

Host Organisation: Hanoi Grapevine / Artist-in-Residence Vietnam Network (AiRViNe)

ACAM will include a range of sessions on art coordination, including panel discussions, workshops, case studies, and opportunities for networking among participants.

Detailed programme information will be shared with selected participants after the selection process, based on discussions with the host organisation and the official invitation.

The programme may include:

Participation in ACAM sessions, panels, and workshops.
Networking with local art coordinators, cultural practitioners, and representatives of cultural organisations.
Research into artistic and cultural practices in Vietnam and Southeast Asia.
Introducing one’s own practice and participating in discussions where appropriate.
Preparing and sharing reports following the programme.

The exact format of participation will be determined through consultation between the ACAM organisers and the *** in Residence Kyoto Secretariat.

3. Programme Period

Programme period: 26 October – 2 November 2026 (tentative)

ACAM conference dates: 29–31 October 2026

Length of stay: Approximately one week.

The programme schedule and contents may be subject to change depending on the host organisation’s circumstances.

4. Support

The following support is planned for this programme.

Support Provided by *** in Residence Kyoto

Travel subsidy for round-trip airfare between Japan and Vietnam (up to JPY 100,000, reimbursed based on actual expenses)
Accommodation during the programme
Research and activity allowance (per diem: JPY ___)
Consultation and coordination before and after the programme
Opportunities to present and share outcomes after returning to Japan
Facilitation of connections with local practitioners and organisations where appropriate

Support Provided by the Host Organisation

Access to the ACAM programme
Opportunities to meet and exchange with local art coordinators, cultural practitioners, and representatives of cultural organisations
Accommodation arranged by the host organisation. If participants choose to stay elsewhere, they will be responsible for any accommodation costs incurred.
Support for local transportation and interpretation, where available

Please note:

The final details of the support package will be confirmed after selection through consultation between the selected participant, the host organisation, and the *** in Residence Kyoto Secretariat.
Participants are responsible for arranging their own visa (if required), travel procedures, and travel insurance.
Participants are responsible for any accidents, illness, loss, or other issues that may occur during the programme. Comprehensive travel insurance is mandatory.

5. Participant Responsibilities

Selected participants will be expected to:

Comply with the rules and regulations of ACAM and the host organisation.
Participate sincerely and actively throughout the programme.
Respect the local culture, community, and artistic context, and engage with others in an open and dialogic manner.
Document their activities during and/or after the programme.
Submit a written report within the designated period after returning to Japan.
Participate in a report-back event organised by or in collaboration with *** in Residence Kyoto after the programme, and cooperate with talks, publications, interviews, or other promotional and archival activities as requested.
Participate, where possible, in the domestic study visit scheduled for 4–6 December 2026 in Ehime Prefecture. (Further details will be announced later. Please note that the schedule may be subject to change.)
Be prepared to introduce their own practice and areas of interest during the programme where appropriate.

Please note:

Giving a presentation or participating as a speaker is not mandatory.
If presentations, talks, or introductions to the participant’s work are arranged, these will be planned in consultation with the ACAM organisers and *** in Residence Kyoto.

Applications that are incomplete or missing required information may not be considered.

8. Selection Process

Applications will be reviewed by a selection committee comprising representatives of *** in Residence Kyoto, the host organisation, and other relevant members.

If necessary, shortlisted applicants may be invited to attend an online interview between 27 and 30 July 2026.

Selection Criteria

Applications will be assessed based on the following criteria:

Relevance of the applicant’s previous activities to the objectives of the programme.
Clarity of the applicant’s objectives for participating in the programme.
Interest in engaging in dialogue with local communities, cultures, and people.
Potential for the programme to contribute to the applicant’s future practice, research, or professional development.
Potential to apply and share the outcomes of the programme after returning to Japan.
Feasibility of the proposed participation plan.

9. Notification of Results

All applicants will be notified of the selection results by email.

Notification period: Early August 2026 (tentative)

Please note that the selection committee is unable to respond to individual enquiries regarding the results.

10. Important Notes

Application materials will not be returned.
If any information provided in the application is found to be false, the applicant’s selection may be withdrawn.
Even after selection, the programme may be modified, postponed, or cancelled due to changes in the ACAM programme, the host organisation’s circumstances, travel conditions, or other unforeseen circumstances.
Participants are responsible for arranging their own visa (if required), travel procedures, and travel insurance.
While *** in Residence Kyoto will provide information and advice where appropriate, it cannot guarantee visa approval or other immigration procedures.
Records of activities undertaken during the programme, including photographs and reports, may be used by *** in Residence Kyoto for publicity, publications, and archival purposes.

Additional Information

This programme does not require participants to produce artworks or present exhibitions during their stay.
